Baycrest Health Sciences, a leader in aging and brain health, is hiring a Medical Secretary to support operations in the Pamela & Paul Austin Centre for Neurology & Behavioral Support, Sam & Ida Ross Memory Clinic, and the Virtual Behavioral Medicine program.
Reporting to the Clinical Manager (and/or Admin Coordinator), the secretary will provide essential office and clinical administrative support in a hybrid (virtual/in-person) care model. Working with interdisciplinary healthcare professionals, the secretary plays a vital role in ensuring smooth clinic workflows.
✅ Responsibilities include:
- Managing referrals, patient registration, and discharge using EMR systems (Meditech, Accuro, OTN, Zoom)
- Scheduling, rescheduling, and coordinating both virtual and in-person appointments
- Maintaining up-to-date physician and clinic schedules
- Organizing patient charts and documentation
- Providing front-line telephone and reception support
- Liaising with long-term care homes, hospitals, and community health partners
- Assisting with referrals and completion of medical forms/documents
- Performing payroll/timekeeping tasks
- Managing databases, ordering supplies, and processing non-OHIP payments
- Ensuring SOP (Standard Operating Procedures) compliance in clinic operations
🎓 Qualifications:
- Completion of a recognized Medical Office Administration diploma or equivalent
- Minimum 2 years of related experience preferred
- Proficiency in Meditech and Accuro EMR systems (preferred)
- Strong knowledge of medical terminology
- Experience in virtual care coordination (OTN, Zoom)
- Solid computer skills: MS Word, Excel, and Outlook
- Excellent written and verbal communication skills
- Familiar with OHIP card validation and clinical charting
- Strong time management, problem-solving, and administrative reporting skills
